Responsibilities:
Documentation Management:
Prepare and review comprehensive export and import documentation such as invoices, packing lists, bills of lading, certificates of origin, customs declarations, and shipping bills.
Thoroughly verify all document details for accuracy, including product descriptions, quantities, values, and compliance with relevant trade regulations.
Coordinate with internal departments (sales, production, logistics) to gather necessary information for documentation.
Ensure timely submission of documents to customs brokers, freight forwarders, and banks.
Customer Interaction:
Manage relationships with international clients, understanding their export/import needs and addressing inquiries regarding documentation and shipment status.
Negotiate trade terms and pricing with overseas buyers and suppliers.
Communicate effectively with clients on potential delays, customs issues, and other relevant updates.
Compliance Oversight:
Stay updated on current export and import regulations, including changes in customs laws and trade agreements.
Conduct thorough compliance checks on all export and import transactions to prevent potential legal issues.
Monitor sanctions lists and ensure compliance with restricted party screening procedures.
Logistics Coordination:
Collaborate with freight forwarders to arrange shipping and transportation logistics, including booking containers, managing port clearance, and tracking shipments.
Coordinate with customs brokers to facilitate smooth customs clearance.
Monitor shipment timelines and address any potential delays or disruptions.
Reporting and Analysis:
Generate reports on export/import activities, including shipment details, customs clearance status, and financial data.
Analyze trade data to identify trends and opportunities for improvement.
Required Skills:
Strong understanding of international trade regulations, customs procedures, and Incoterms
Expertise in export and import documentation practices
Excellent communication and negotiation skills to interact with clients and external partners
Attention to detail to ensure accuracy in documentation and compliance
Proficiency in relevant software applications for trade management and documentation
Relevant Experience:
Prior experience in an export/import role, preferably with a focus on document verification and compliance
Knowledge of international trade laws and regulations
Familiarity with customs procedures and clearance processes
