Job Description

  • Enter, maintain & organize data in a computer
  • Handle day to day office activities
  • Answer phone calls and manage emails
Responsibilities:
Administrative Support:
Assist in managing and organizing office files, documents, and records.
Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
Prepare and modify documents, reports, and presentations as needed.
Coordinate appointments, meetings, and conferences, and maintain calendars.
Reception:
Greet and assist visitors, clients, and employees in a courteous and professional manner.
Manage phone calls and direct them to appropriate personnel.
Maintain a neat and organized reception area.
Office Organization:
Ensure the office environment is tidy and well-maintained.
Order and maintain office supplies and inventory.
Assist in setting up and organizing workstations for new employees.
Data Entry and Filing:
Input data accurately into relevant systems or databases.
Organize and maintain physical and digital filing systems.
Communication:
Collaborate with internal teams to ensure efficient communication and information flow.
Distribute memos, announcements, and other communication materials.
Support to Management:
Assist executives and managers with administrative tasks and special projects.
Conduct research, compile data, and prepare reports as requested.
Travel and Logistics:
Arrange travel itineraries, accommodations, and transportation for employees or clients.
Coordinate meeting logistics, including booking venues and catering if required.
Qualifications:
Graduate – fluent in English
Proven experience in a call center, office assistant, administrative assistant, or similar role.
Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and multitasking skills with excellent attention to detail.
Effective verbal and written communication skills.
Familiarity with basic office equipment (e.g., printers, copiers, scanners).
Professional and friendly behavior with exceptional interpersonal skills.
Ability to maintain confidentiality and handle sensitive information.
Resourcefulness and the ability to work independently as well as in a team.
Adaptability and a willingness to learn new tasks and skills.
Knowledge of general office management procedures.
Additional Information:
This is a full-time position.
Salary as per the industry standard.
The role may require occasional flexibility in working hours to accommodate special events or
projects.
