Job Description

  • Enter, maintain & organize data in a computer
  • Handle day to day office activities
  • Answer phone calls and manage emails
Roles & Responsibilities:
1. Pending Payment Follow-up:
o Monitor and track pending payments.
o Send reminders and follow-up emails to clients regarding outstanding payments.
o Coordinate with the finance department to update the payment status.
2. Acknowledgment after Instrument Received:
o Send acknowledgment emails to clients upon receiving instruments.
o Verify and record the receipt of instruments in the system.
3. Job Card Management:
o Create and maintain job cards for each project or service request.
o Ensure all relevant information and updates are recorded accurately.
4. Quotation Preparation:
o Prepare and send quotations to clients based on their requirements.
o Follow up with clients for quotation approval and respond to any queries.
5. Open/Closing Checklist:
o Create and maintain an open/closing checklist for all projects.
o Ensure all relevant documents and photos of instruments are included.
o Verify that all tasks are completed before closing a project.
6. Sending Scanned Invoices to Customers:
o Scan and email invoices to clients promptly.
o Ensure that invoices are accurate and include all necessary information.
7. Providing Instrument/Customer Details:
o Retrieve and provide instrument and customer details from the database as needed.
o Maintain an up-to-date database with accurate information.
8. Declaration Update:
o Update and maintain declarations as required.
o Ensure all declarations are compliant with company policies and regulations.
9. Maintain Hard & Soft Copies of New Dispatch (ND):
o Keep organized records of both hard and soft copies of New Dispatch (ND) documents.
o Ensure ND documents are easily accessible and securely stored
