The Document Scanning Technician is responsible for scanning and digitizing physical documents, ensuring accuracy and quality control, and organizing the files according to company protocols. The ideal candidate will have an eye for detail, strong organizational skills, and experience with document scanning equipment and software.
Document Preparation: Sort, organize, and prepare documents for scanning by removing staples, paper clips, and ensuring all documents are aligned correctly.
Scanning Documents: Operate high-speed scanners to digitize physical documents into electronic formats (PDF, TIFF, JPEG, etc.).
File Management: Label and categorize scanned documents appropriately to ensure easy access and retrieval.
Quality Control: Review scanned documents for clarity, resolution, and alignment; ensure quality standards are met and re-scan if necessary.
Data Entry: Input metadata and related information into document management systems as needed.
Maintain Equipment: Perform routine maintenance on scanning equipment and report any technical issues promptly.
Archiving: Maintain accurate records of all scanned files and ensure proper digital storage of documents.
Confidentiality: Handle sensitive or confidential documents securely and in compliance with company privacy policies.
High school diploma or equivalent required; associate’s degree or higher preferred.
Previous experience in document scanning or related field is a plus.
Familiarity with document scanning software (e.g., Adobe Acrobat, Kofax, etc.) and document management systems.
Strong attention to detail and organizational skills.
Ability to work efficiently and meet deadlines.
Excellent communication skills and ability to work both independently and as part of a team.
Basic knowledge of office equipment (scanners, copiers, printers).
Ability to lift and carry boxes of documents weighing up to [X lbs].
Ability to sit for long periods while operating scanning equipment.
Good manual dexterity for handling delicate documents.
