Job Title: Executive Assistant
Job Summary:
Key Responsibilities:
Operational Firefighting:
Be the go-to person for resolving urgent operational challenges as they arise, especially in manufacturing, retail, and supply chain processes.
Use creative problem-solving skills to address and resolve operational issues efficiently.
Collaborate with teams across departments to mitigate disruptions and ensure continuity of operations.
Act as the point of contact for crisis management and handle high-pressure situations with composure.
2. Administrative Support:
Manage the Director’s calendar, appointments, and travel arrangements.
Prepare and organize meetings, agendas, and related documents.
Draft, review, and send communications on behalf of the Director (emails, memos, reports).
Maintain an organized filing system (both physical and electronic).
Client & Brand Management:
Coordinate with clients, suppliers, and other stakeholders to ensure smooth communication.
Assist with managing relationships with key clients and brands.
Prepare and follow up on client-facing presentations and reports.
Project Management & Coordination:
Assist in planning and executing company projects related to distribution, manufacturing, and retail.
Ensure that deadlines are met, and deliverables are executed on time.
Coordinate with internal teams and external partners to ensure project goals are achieved.
Operational Assistance:
Help in managing day-to-day operations, ensuring that business processes run smoothly.
Assist with inventory tracking, supply chain communications, and production schedules.
Prepare reports on manufacturing and retail performance for the Director’s review.
Research & Reporting:
Conduct market research, competitor analysis, and identify new business opportunities.
Compile and analyze performance data, including financials, client feedback, and market trends.
Prepare detailed reports and presentations for internal and external stakeholders.
Special Projects:
Assist the Director with any special projects, including launching new brands or products.
Handle confidential and sensitive information with discretion.
Proactively identify areas for process improvements and contribute to strategic planning.
Qualifications:
Education: Bachelor's degree in business administration, Marketing, or a related field (preferred).
Experience:
Minimum of 2 years of experience as an Executive Assistant, Personal Assistant, or in a similar administrative support role.
Experience in distribution, manufacturing, and retail industries is a plus.
Skills:
Strong creative thinking and problem-solving abilities.
Excellent communication skills, both written and verbal.
Strong organisational and multitasking abilities.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
Ability to handle confidential information with professionalism.
Knowledge of project management tools is a plus.
