Executive Assistant to Managing Director (MD)

Location: Ludhiana, Punjab

Job Type: Full-time

Reports To: Managing Director

Job Summary:

We are seeking a highly organized and proactive Executive Assistant (EA) to the Managing Director (MD) to provide comprehensive administrative and strategic support. The EA will act as a key liaison, managing schedules, communications, and critical tasks to enhance the MD’s productivity and efficiency.

Key Responsibilities:

1. Administrative & Executive Support:

  • Manage the MD’s calendar, scheduling meetings, and prioritizing appointments.

  • Handle travel arrangements, including flights, hotels, and itineraries.

  • Prepare reports, presentations, and documents for internal and external meetings.

  • Maintain confidentiality and discretion in handling sensitive business information.

  • Coordinate board meetings, take minutes, and track action points.

2. Communication & Liaison:

  • Serve as the first point of contact for the MD, screening calls and emails.

  • Draft correspondence, emails, and memos on behalf of the MD.

  • Liaise with internal teams, clients, and external stakeholders.

  • Ensure timely follow-ups on key discussions and commitments.

3. Project Management & Strategy Support:

  • Assist in research, data analysis, and preparation of strategic reports.

  • Track project progress, deadlines, and deliverables.

  • Support decision-making by gathering relevant information and insights.

4. Office & Team Coordination:

  • Organize internal events, conferences, and business functions.

  • Ensure smooth office operations in collaboration with the administration team.

  • Maintain records, files, and databases in an organized manner.

5. Personal Assistance (If Required):

  • Handle some personal tasks for the MD, such as personal appointments and reservations.

  • Assist with personal travel and event coordination.

Qualifications & Skills:

  • Education: Bachelor’s degree in Business Administration, Management, or a related field.

  • Experience: 5+ years of experience as an Executive Assistant, preferably supporting senior executives.

  • Technical Skills: Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook), Google Suite, and project management tools.

  • Soft Skills:

    • Strong organizational and multitasking abilities.

    • Excellent communication (verbal & written) and interpersonal skills.

    • High level of discretion, professionalism, and attention to detail.

    • Ability to work under pressure and meet tight deadlines.

    • Problem-solving mindset with a proactive approach.
