Job position: Executive Assistant

Key Responsibilities:
• Manage and maintain the Director’s calendar, scheduling meetings, appointments, and events, ensuring optimal use of time.
• Coordinate with internal and external stakeholders to organize meetings and follow up on any scheduling conflicts or changes.
• Act as the primary point of contact between the Director and both internal and external including clients, partners, and team members.
• Screen and manage phone calls, emails, and correspondence, ensuring the Director’s attention is directed toward priority matters.
• Draft and prepare communications, reports, presentations, and other documents on behalf of the Director.
• Arrange business travel, including flights, accommodation.
• Arrange personal travel, family events, and coordinate with vendors for personal needs.
• Coordinate with service providers for household or personal tasks (e.g., personal shopping, healthcare appointments).
• Handle and prioritize personal tasks as directed by the Director, ensuring all needs are met efficiently and discreetly.
• Handle confidential personal and professional information with the utmost discretion.
• Oversee general office management duties, including filing, organizing paperwork, maintaining office supplies, and ensuring a tidy and functional office space.
• Provide backup support for other administrative team members as required, ensuring smooth operation of the office.
