Job Title: Executive Assistant to Director
Overview: As the Executive Assistant to the Director, you will play a crucial role in providing high-level administrative support to ensure the smooth and efficient operation of the director's office. This position requires a proactive, organized, and detail-oriented individual with excellent communication and interpersonal skills.
Key Responsibilities:
1. Calendar Management:
· Effectively manage the director's schedule, including appointments, meetings, and travel arrangements.
· Coordinate and prioritize meetings, ensuring the director is well-prepared for all engagements.
2. Communication:
· Act as the primary point of contact between the director and internal/external stakeholders.
· Draft, proofread, and edit emails, reports, and other correspondence on behalf of the director.
3. Information Management:
· Maintain an organized filing system for important documents, correspondence, and records.
· Conduct research and compile data to prepare reports and presentations as needed.
4. Meeting Coordination:
· Arrange and coordinate meetings, conferences, and events, including logistics and materials preparation.
· Take meeting minutes, distribute agendas, and follow up on action items.
5. Travel Arrangements:
· Plan and coordinate domestic and international travel for the director, including flights, accommodations, and transportation.
6. Expense Management:
· Process and track expenses, ensuring timely reimbursement for the director.
· Maintain accurate financial records related to expenses and budgets.
7. Confidentiality:
· Handle sensitive and confidential information with discretion and professionalism.
· Maintain a high level of confidentiality in all aspects of work.
8. Project Support:
· Assist in the execution of special projects and initiatives as directed by the director.
· Collaborate with other team members to ensure project deadlines are met.
9. Administrative Support:

Qualifications:
· Proven experience as an executive assistant or in a similar role.
· Strong organizational and time-management skills.
