Job Summary: We are seeking a highly organized and personable Admin/Receptionist to join our team. This role will be the first point of contact for visitors and clients and will support administrative tasks to ensure smooth office operations. The ideal candidate will possess excellent communication skills, a professional demeanor, and the ability to handle multiple tasks in a fast-paced environment.
Key Responsibilities:
Greet and welcome visitors, ensuring a positive first impression of the company.
Answer and direct phone calls, take messages, and handle inquiries.
Maintain the front desk area, ensuring it is clean, organized, and presentable.
Schedule and coordinate appointments, meetings, and conference room bookings.
Manage incoming and outgoing mail, packages, and deliveries.
Provide administrative support to various departments as needed, including data entry, filing, and document management.
Assist in preparing reports, presentations, and correspondence.
Maintain office supplies inventory and order replacements when necessary.
Assist with basic HR functions, such as onboarding new employees and maintaining personnel files.
Handle office-related tasks such as setting up meetings, preparing refreshments, and coordinating travel arrangements.
Support the execution of company events or team-building activities as needed.
Other administrative tasks as assigned by management.
Qualifications:
High school diploma or equivalent; additional qualification as an Administrative Assistant or Receptionist is a plus.
Proven experience as an Admin Assistant, Receptionist, or in a similar role.
Strong verbal and written communication skills.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Excellent organizational and multitasking abilities.
Ability to maintain a professional appearance and attitude.
Strong interpersonal skills and the ability to work well in a team environment.
A proactive and positive attitude with the ability to handle challenging situations calmly.
Work Environment:
Full-time, in-office role.
