Job Summary:
The Third-Party Payroll Executive will be responsible for managing end-to-end payroll processing for employees hired through an RPO (Recruitment Process Outsourcing) model. The role involves ensuring accurate and timely payroll disbursement, compliance with statutory regulations, and coordination between the RPO provider, client HR, and finance teams.
Key Responsibilities:
1. Payroll Processing & Management:
- Process payroll for employees hired via RPO vendors, ensuring accuracy in salary calculations, deductions, and reimbursements.
- Validate attendance, leave records, overtime, and other inputs affecting payroll.
- Handle payroll queries from employees and RPO partners.
- Ensure timely disbursement of salaries through the RPO payroll system.
2. Compliance & Statutory Management:
- Ensure adherence to labour laws, tax regulations (TDS, PF, ESIC, PT, LWF), and other statutory requirements.
- File monthly/quarterly returns (PF, ESIC, TDS, etc.) and ensure timely submissions.
- Handle payroll audits and ensure compliance with company policies and legal mandates.
3. Coordination with RPO & Stakeholders:
- Liaise with RPO vendors to gather employee data, attendance, and other payroll inputs.
- Work closely with HR, finance, and RPO teams to resolve discrepancies.
- Maintain accurate records of payroll transactions and employee data.
4. Reporting & Documentation:
- Generate payroll reports (monthly, yearly, ad-hoc) for management and RPO partners.
- Maintain payroll records, employee files, and audit documentation.
- Assist in payroll reconciliation and variance analysis.
5. Process Improvement & Automation:
- Identify gaps in payroll processes and suggest improvements.
- Support payroll system upgrades and automation initiatives.
Skills & Qualifications:
- Education: Bachelor’s degree in Finance, Accounting, HR, or related field.
- Experience: 2-5 years in payroll processing, preferably in an RPO/third-party payroll environment.
- Technical Skills:
- Proficiency in payroll software (e.g., SAP, ADP, Oracle, Zoho Payroll).
- Advanced Excel skills (VLOOKUP, Pivot Tables, Formulas).
- Knowledge of labor laws and statutory compliance (India-specific: PF, ESIC, PT, Gratuity).
- Soft Skills:
- Strong attention to detail & analytical skills.
- Excellent communication & stakeholder management.
- Ability to handle confidential data with integrity.
Preferred Qualifications:
- Certification in payroll management (e.g., Certified Payroll Professional).
- Experience working with RPO/managed staffing payroll models.
Work Environment:
- Fast-paced, deadline-driven RPO/outsourcing setup.
- May require coordination across different time zones (if supporting global payroll).
