We are seeking a highly organized and detail-oriented Real Estate Admin cum Documentation Officer to join our team. This individual will play a crucial role in managing the administrative tasks and ensuring the proper documentation of real estate transactions. The ideal candidate will have excellent communication skills, a strong attention to detail, and the ability to manage multiple tasks efficiently.
Documentation Management:
Prepare, review, and maintain real estate documents such as contracts, agreements, leases, purchase orders, and deeds.
Ensure all documents are properly signed, dated, and filed according to company protocols.
Assist in the preparation of legal documents related to property transactions, including sale and lease agreements, and title deeds.
Maintain an organized filing system for both hard copy and electronic files.
Transaction Support:
Coordinate with buyers, sellers, agents, and other stakeholders to ensure all paperwork for transactions is complete and accurate.
Track deadlines related to real estate deals and ensure timely submission of documents to relevant parties.
Liaise with legal professionals, notaries, and title companies to ensure compliance with local laws and regulations.
Administrative Support:
Manage daily office operations including answering phone calls, scheduling appointments, and responding to emails.
Handle inquiries related to real estate transactions, properties, and documentation processes.
Maintain up-to-date records of property listings, sales, and lease agreements.
Assist with preparing reports for property management and accounting teams.
Compliance and Legal Requirements:
Ensure all real estate transactions comply with current local and national laws, industry regulations, and company policies.
Stay updated on changes in real estate laws, tax regulations, and other legal requirements that impact documentation.
Coordination with External Parties:
Communicate effectively with external parties such as clients, brokers, legal advisors, and regulatory authorities.
Coordinate the closing process, including ensuring that all documents are signed and executed correctly.
Other Duties as Assigned:
Assist with any other administrative or documentation tasks as needed by management.
Education: High school diploma or equivalent required; a degree in business administration, real estate, or a related field is preferred.
Experience: Proven experience in a real estate administrative or documentation role (1-2 years).
Skills:
Strong attention to detail and organizational skills.
Proficiency in MS Office (Word, Excel, PowerPoint) and real estate management software.
Excellent written and verbal communication skills.
Familiarity with real estate laws and regulations.
Ability to manage multiple tasks simultaneously and prioritize effectively.
Strong problem-solving skills and ability to work independently.
Certifications (optional but preferred): Certification in Real Estate Administration or related fields is a plus.
