Job Title: Office Coordinator - Backend Operations Job Overview: The Office Coordinator will support in managing backend operations. This role is essential for coordinating between departments, Processing new enquiries & communication, and supporting project delivery by handling documentation, scheduling, logistics and managing new enquiries. Key Responsibilities: Administrative Support:Manage and organize office documentation, both digital and physical, ensuring records are up-to-date and easily accessible.Oversee inventory of office supplies and ensure timely procurement.Project Documentation and Tracking:Coordinate project files and ensure timely updates to documentation in coordination with architects, designers, and other team members.Assist in creating and managing timelines, project milestones, and status reports for ongoing projects.Processing of New Inquiries from Social Media Channels:Monitor and respond to new inquiries from social media platforms, directing them to relevant team members as appropriate.Ensure timely follow-up and documentation of inquiries to nurture potential client leads.Scheduling and Calendar Management:Manage the schedules of senior architects and designers, booking client meetings, project reviews, vehicle coordination and team discussions.Coordinate internal and external meetings, ensuring all necessary materials and documentation are prepared in advance.Billing and Financial Support:Coordinate with finance teams to ensure timely processing of invoices, expense reports, and billing for projects.Assist with budgeting, tracking expenses, and ensuring accurate financial records for projects.
