The Tender Executive is responsible for managing and overseeing the entire tendering process, including preparing, submitting, and coordinating bids in response to Requests for Proposals (RFPs), Requests for Quotations (RFQs), and Invitations to Tender (ITTs). This role ensures compliance with all tender requirements and works closely with internal teams to develop competitive proposals.
Identify and analyze tender opportunities from government and private sector clients.
Review tender documents, scope of work, and contractual requirements.
Gather relevant information and coordinate with internal departments (sales, finance, legal, technical) to prepare competitive bids.
Draft, format, and compile tender documents, ensuring accuracy and compliance with submission guidelines.
Manage deadlines and ensure timely submission of tenders.
Maintain up-to-date records of all tender documents, submissions, and responses.
Ensure tenders meet all regulatory and contractual requirements.
Coordinate with legal and finance teams to ensure compliance with bidding regulations.
Conduct market research to identify new tender opportunities and industry trends.
Develop strategies to improve the success rate of tender submissions.
Monitor competitors’ activities and pricing strategies.
Liaise with procurement teams, clients, and stakeholders to clarify bid requirements.
Coordinate with internal teams to gather necessary technical and financial information.
Attend pre-bid meetings, site visits, and post-tender negotiations when required.
Follow up on submitted tenders and track their progress.
Address queries and provide clarifications requested by clients.
Assist in contract negotiations and finalization if the bid is successful.
Bachelor of Engineering in Mechanical Engineering , Supply Chain Management, Engineering, or a related field.
2+ years of experience in tendering, procurement, or business development.
Experience in preparing and submitting tenders in a corporate or government setting.
Strong understanding of procurement and bidding processes.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and tender management software.
Ability to work under pressure and meet strict deadlines.
