Position Overview:
The Receptionist & Admin serves as the first point of contact for guests, clients, and employees, ensuring a warm, professional, and organized front office environment. This role combines reception duties with essential administrative support to maintain smooth office operations.
Roles and Responsibilities
Greet and welcome visitors in a courteous and professional manner.
Direct guests to the appropriate departments and notify relevant staff of their arrival.
Book conference rooms and arrange refreshments for meetings.
Maintain a clean, organized, and presentable reception area.
Call and Communication Handling
Answer and route incoming calls promptly and professionally.
Take and relay accurate messages to concerned individuals.
Mail and Courier Management
Receive, sort, and distribute incoming mail and packages.
Handle outgoing mail, prepare shipments, and coordinate courier services.
Maintain accurate records of courier and mail entries.
Appointments & Scheduling
Schedule appointments and manage meeting room bookings.
Assist in organizing office meetings and events.
Administrative Support
Handle routine administrative tasks such as photocopying, scanning, and filing.
Maintain and update contact directories and office records.
Monitor and replenish office and pantry supplies.
Assist in coordinating office events and celebrations.
Facilities & Vendor Coordination
Track maintenance needs for equipment such as A/C, intercom, CCTV, etc., and coordinate repairs.
Liaise with vendors for office services and supplies.
Support interview drives and candidate coordination as needed.
Record Keeping
Maintain registers for visitor logs, inward/outward items, courier entries, and attendance.
Manage birthday lists and coordinate in-office celebrations.
Basic Requirements
Proven experience in a front desk, receptionist, or administrative support role.
Strong verbal and written communication skills.
Friendly, professional demeanor with strong interpersonal skills.
Good organizational and multitasking abilities.
Proficiency in MS Office (Word, Excel, Outlook).Ability to maintain confidentiality and handle sensitive information.
Attention to detail and proactive problem-solving approach.
