Key Duties and Responsibilities of ‘Receptionist’
1. Dress up formally, smile and greet.
2. Answer the telephone calls immediately, speak in a friendly and polite manner, listen carefully and take messages, forward calls or communicate to the right person. Maintain professionalism in all phone conversations. Register incoming & outgoing calls. 3. Greet customers, clients, and other visitors. 4. Check in visitors and direct or guide them to meet the right person. Maintain record of incoming visitors, their names, addresses etc. 5. Maintain inventory of basic office supplies / stationeries, such as pens, pencils, tea/coffee, sugar, etc. 6. Schedule and confirm appointments of all Company Directors, Senior Managers, and maintain their calendars.
7. Handling inquiries, conflicts and challenges. Stay organized and efficient.
8. Registering incoming and outgoing mails on daily basis. Arranging couriers, sorting and distributing mails.
9. Printing of ID cards for employees located at PAN India location. Keeping track of ID cards details including card cases and its strings (ribbons) in excel sheet on daily basis.
10. To supervise cleaning of the entire office done by housekeeping staff. Ensure stock availability of housekeeping products all the time.
11. General administrative support, including managing correspondence.
