We are seeking a highly organized and detail-oriented Administrative Assistant to join our team in the travel and tourism industry. This role involves managing office operations, supporting the daily functions of the company, and ensuring smooth communication between departments. You will play a vital role in maintaining excellent customer service standards and assisting in the coordination of travel bookings, itinerary planning, and other administrative tasks.

Key Responsibilities:
Administrative Support: Provide general administrative support to the team, including managing emails, phone calls, and scheduling meetings.
Travel Coordination: Assist in booking flights, accommodations, tours, and other travel services for clients. Handle the preparation of travel itineraries and documentation.
Customer Service: Communicate with clients regarding their travel plans, providing information and resolving any issues related to bookings or itineraries.
Record Keeping: Maintain accurate and up-to-date records of client bookings, travel arrangements, and company transactions.
Documentation: Prepare and process invoices, contracts, and other necessary travel-related paperwork.
Communication: Coordinate between the sales, marketing, and operations departments to ensure the timely execution of bookings and services.
Office Management: Ensure the smooth operation of the office by maintaining supplies, managing office equipment, and coordinating office events or meetings.
Database Management: Update and maintain the company’s customer relationship management (CRM) system and travel booking databases.
Financial Tracking: Assist with the processing of payments, handling of invoices, and preparation of financial reports as needed.
Marketing Assistance: Assist in the creation of promotional materials, including brochures and emails, and help support marketing campaigns.
Skills and Qualifications:
Education: High school diploma or equivalent required; a degree in business administration, tourism, or a related field is a plus.
Experience: At least 2 years of administrative experience, preferably in the travel and tourism industry.
Communication Skills: Excellent written and verbal communication skills.
Organizational Skills: Strong attention to detail and the ability to prioritize tasks effectively.
Customer Service: Experience in customer service with a focus on resolving issues and providing a positive client experience.
Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with travel booking systems.
Problem Solving: Ability to handle difficult situations and find solutions quickly and effectively.
Teamwork: Ability to work collaboratively in a fast-paced team environment.
Preferred Qualifications:
Experience with travel booking software (e.g., Amadeus, Sabre, Galileo).
Knowledge of international travel regulations and industry trends.
Proficiency in additional languages is a plus.
