Job Summary:
Ministry of Skin is seeking a friendly and professional Receptionist to be the first point of contact for our clients and visitors. The ideal candidate will possess excellent communication and organizational skills, with a strong ability to multitask and prioritize duties effectively. As the face of our clinic, the Receptionist plays a crucial role in providing exceptional customer service and maintaining a welcoming environment for all.
Key Responsibilities:
1. Patient Experience & Reception Management
Greet and assist patients with a warm, professional approach.
Ensure a smooth check-in and check-out process.
Provide information about treatments, pricing, and appointment availability.
Maintain a high standard of hospitality to create a luxurious patient experience.
2. Appointment Scheduling & Coordination
Manage online and offline appointment bookings efficiently.
Coordinate doctor schedules, treatment slots, and staff availability.
Send appointment confirmations and reminders via WhatsApp, SMS, or calls.
Minimize no-shows by following up with patients before their scheduled visit.
3. Sales & Upselling Services
Explain available treatments and recommend additional services or packages based on patient needs.
Promote membership plans, skincare products, and ongoing offers.
Track patient preferences and suggest personalized treatment plans.
4. Billing & Payment Management
Handle billing, invoicing, and payment processing accurately.
Maintain records of transactions and update patient accounts.
Address patient queries related to pricing, payment plans, and insurance (if applicable).
5. Clinic Operations & Communication
Coordinate with dermatologists, therapists, and management to ensure smooth clinic operations.
Maintain and update patient records and CRM databases.
Ensure the front desk area is clean, organized, and welcoming.
Handle patient feedback and escalate concerns to management if necessary.
6. Performance Metrics & Success Goals
Maintain a 90%+ appointment attendance rate (minimizing cancellations/no- shows).
Increase service upselling by 30% through personalized recommendations.
Ensure 100% accuracy in scheduling, billing, and patient records.
Maintain high patient satisfaction scores through professional service.
