Job Description: Front Desk Receptionist


Roles & Responsibilities:

  • Greet and assist visitors, clients, and employees with a friendly and professional attitude.

  • Answer incoming calls, direct them appropriately, and take messages when necessary.

  • Maintain a neat and organized reception area.

  • Handle administrative tasks such as data entry, filing, and scheduling appointments.

  • Manage petty cash transactions and maintain proper records.

  • Coordinate with different departments for smooth office operations.

  • Receive and distribute mail, packages, and important documents.

  • Assist in maintaining office supplies inventory and placing orders when required.

  • Ensure proper visitor log management and security protocols are followed.

  • Provide basic information about services to visitors and callers.

  • Should be comfortable working in an animal care environment.


Required Skills:

  • Communication Skills – Excellent verbal and written communication.

  • Customer Service – Strong interpersonal skills to provide a welcoming experience.

  • Organizational Skills – Ability to multitask and manage front-desk operations efficiently.

  • Basic Computer Proficiency – Knowledge of MS Office (Word, Excel, Outlook).

  • Problem-Solving Ability – Quick thinking and ability to handle minor conflicts or issues.

  • Time Management – Efficient in handling multiple tasks while maintaining professionalism.

  • Attention to Detail – Accuracy in handling records, messages, and documents.

  • Flexibility & Adaptability – Ability to handle various responsibilities in a dynamic environment.

Qualifications & Experience:

  • High school diploma or equivalent (Bachelor’s degree preferred).

  • Minimum 1-2 years of experience in a receptionist or front-desk role.

  • Experience in handling administrative tasks is an advantage.

  • Comfortable working in an animal hospital/shelter environment.
