Roles & Responsibilities for Front-Desk Receptionist 1. Managing Appointments and Schedules: • Schedule appointments, meetings, and conferences for executives or other staff members. • Maintain and update the calendar or scheduling system. • Confirm appointments and send reminders to attendees. 4. Handling Administrative Tasks: • Perform various administrative duties such as filing, photocopying, faxing, and data entry. • Maintain office supplies and ensure that they are stocked. • Assist with mail and package handling, sorting, and distribution. 5. Maintaining a Clean and Organized Reception Area: • Ensure that the reception area is tidy, professional, and welcoming at all times. • Organize brochures, magazines, and other materials for visitors. • Maintain a professional appearance of the front desk. 6. Managing Incoming and Outgoing Mail: • Receive, sort, and distribute incoming mail and packages. • Prepare outgoing mail and packages, including making shipping arrangements if necessary. 7. Providing Customer Service: • Address customer inquiries, provide information about products or services, and resolve any issues or concerns. • Offer assistance to visitors with directions within the office building. 8. Security and Safety: • Monitor and control access to the building by visitors and employees. • Ensure that visitors follow proper check-in and check-out procedures. • Report any security concerns or incidents to the appropriate authorities. 9. Handling Basic Troubleshooting: • Assist with minor technical issues (e.g., phone or computer issues) in the reception area or direct problems to the right department. 10. Assisting Other Departments: • Support different departments as needed, whether it's organizing office events, arranging travel for staff, or helping with projects. • Provide backup to administrative staff when necessary.
