A highly organized and proactive Executive Assistant (EA) responsible for supporting the owner, ensuring smooth operations across the showroom, managing internal coordination, and acting as the key communication bridge between the team and the management. The EA must maintain professionalism, confidentiality, and uphold the luxury service standards expected in a premium jewellery environment.
🔑 Key Roles & Responsibilities
1. Executive Support
Manage the calendar, appointments, and day-to-day schedule of the owner.
Handle travel, event bookings, and confidential correspondence.
Filter and prioritize all communication and requests reaching the owner.
2. Staff & Team Coordination
Act as the primary point of contact between staff and the owner – ensuring no direct, unnecessary communication reaches the boss.
Handle staff scheduling, task delegation, and routine coordination.
Address internal staff issues diplomatically and resolve minor conflicts before escalating.
Maintain staff performance tracking, leaves, and attendance logs.
3. Client Handling
Ensure a VIP experience for walk-in clients; manage appointments and service flow.
Keep client records up-to-date, follow up on inquiries and custom orders.
Handle client communication, confirmations, and post-purchase follow-ups.
4. Showroom Operations
Oversee daily readiness of the showroom – cleanliness, displays, ambience.
Coordinate with vendors for repairs, restocking of essentials, or decor.
Manage incoming calls, messages, and front-office functioning.
5. Inventory & Jewellery Flow Support
Help monitor incoming/outgoing jewellery pieces and custom orders.
Assist with documentation of hallmarking, certifications, and insurance.
Coordinate with production or workshop for urgent or priority orders.
6. Documentation & Reporting
Maintain records of sales, stock movements, invoices, and bills.
Prepare daily/weekly management reports, MIS dashboards.
Keep all documentation organized for audits or compliance checks.
7. Event & Marketing Support
Support marketing efforts – exhibitions, trunk shows, influencer coordination.
Help execute showroom events or client appreciation gatherings.
Liaise with designers or stylists for special client orders or collaborations.
