KEY ROLES AND RESPONSIBILITIES OF A HR PAYROLL EXECUTIVE:
1. Recruitment and Selection:
o Managing the end-to-end recruitment process, including job postings, sourcing candidates, screening resumes, conducting interviews, and making job offers.
o Ensuring compliance with Equal Employment Opportunity (EEO) guidelines and other relevant laws.
2. Onboarding and Induction:
o Facilitating the onboarding process for new hires, including orientation sessions, introduction to company policies and procedures, and completing joining formalities.
o Ensuring new employees are integrated smoothly into the organization.
3. Employee Relations:
o Handling employee grievances, conflicts, and disciplinary actions in compliance with company policies and applicable laws.
o Promoting positive employee relations and a conducive work environment.
4. Performance Management:
o Implementing performance management systems, including goal setting, performance reviews, and feedback sessions.
o Providing guidance to managers and employees on performance improvement and career development.
5. Payroll Processing:
o Calculating wages and salaries based on attendance records, timesheets, or other inputs.
o Processing payroll accurately and on time, considering deductions (e.g., taxes, Provident Fund, ESI) and allowances (e.g., bonuses, overtime).
6. Compliance with Indian Laws:
o Ensuring compliance with various statutory regulations such as the Payment of Wages Act, Minimum Wages Act, and other relevant labor laws.
o Deducting and depositing taxes (e.g., TDS - Tax Deducted at Source) as per Income Tax rules.
o Managing compliance related to Provident Fund (PF), Employee State Insurance (ESI), Professional Tax, Gratuity, etc.
7. Documentation and Record Keeping:
o Maintaining accurate records of payroll transactions, including salaries, wages, deductions, and bonuses.
o Generating and issuing pay slips or salary statements to employees.
8. Employee Benefits Administration:
o Administering employee benefits such as Provident Fund (PF), Employee State Insurance (ESI), medical insurance, and other statutory and voluntary benefits.
o Ensuring timely enrolment, deductions, and compliance with benefit-related regulations.
9. Income Tax Compliance:
o Calculating and deducting TDS (Tax Deducted at Source) from employee salaries as per income tax regulations.
o Generating Form 16 (annual TDS certificate) for employees and filing TDS returns with the Income Tax Department.
10. Handling Queries and Resolving Issues:
o Addressing employee queries related to payroll, deductions, and benefits.
o Resolving payroll discrepancies or issues in a timely manner.
11. Audit and Reporting:
o Assisting in internal and external audits related to payroll and compliance.
o Generating payroll reports for management review and decision-making.
12. Updating Policies and Procedures:
o Assisting in developing and updating payroll policies, procedures, and guidelines.
o Ensuring policies comply with legal requirements and organizational standards.
13. Integration with HRIS (Human Resource Information System):
o Utilizing HRIS software for payroll processing, record keeping, and reporting.
o Ensuring data integrity and security in the HRIS system.
14. Continuous Improvement and Training:
o Staying updated on changes in labour laws, tax regulations, and payroll practices in India.
o Conducting training sessions for employees on payroll-related matters as needed.
