Job Description

A Tender Executive is responsible for identifying, evaluating, and managing the submission of bids and tenders for contracts by actively searching for relevant opportunities, interpreting tender requirements, coordinating with internal departments to gather necessary information, and ensuring timely and accurate submission of proposals while adhering to all tender deadlines and guidelines; essentially playing a key role in securing new business through the bidding process. 

Key responsibilities of a Tender Executive:

  • Identifying Tender Opportunities:

Actively search and source potential tenders from various platforms like government portals, industry publications, client networks, and online bidding sites. 

  • Tender Analysis:

Thoroughly review and understand tender documents, including technical specifications, eligibility criteria, pricing requirements, and submission deadlines. 

  • Internal Coordination:

Collaborate with different departments within the company to gather necessary information, technical details, pricing data, and compliance documents required for the tender response. 

  • Proposal Preparation:

Draft comprehensive tender responses, including technical proposals, commercial offers, and compliance documentation, ensuring all aspects of the tender are addressed accurately. 

  • Compliance Management:

Verify that all tender submissions adhere to the stipulated guidelines, legal requirements, and formatting standards. 

  • Pre-bid Meetings:

Attend pre-bid conferences to clarify doubts and understand client expectations regarding the tender process. 

  • Submission Management:

Ensure timely submission of bids, including proper packaging, documentation, and electronic filing on designated portals. 

  • Tender Tracking:

Monitor the status of submitted tenders, follow up with clients on evaluation progress, and manage communication with key stakeholders. 

  • Bid Evaluation:

Analyze tender feedback and identify areas for improvement in future proposals. 

  • Reporting and Analysis:

Generate reports on tender activity, win rates, and market trends to inform strategic decision-making. 

Required Skills:

  • Strong analytical and problem-solving skills to interpret complex tender documents 

  • Excellent communication and interpersonal skills to collaborate with internal teams and client contacts 

  • Attention to detail to ensure accurate and compliant tender submissions
