We are seeking a reliable and organized Office Assistant to provide comprehensive administrative support to our team. The ideal candidate will be a proactive problem-solver with excellent communication and multitasking skills. This role is essential in ensuring the smooth and efficient operation of our office.
Responsibilities:
General Administrative Support:
Answering and directing phone calls.
Greeting and assisting visitors.
Managing incoming and outgoing mail and packages.
Maintaining office supplies and inventory.
Scheduling and coordinating meetings and appointments.
Preparing and organizing documents, reports, and presentations.
Maintaining organized filing systems (both physical and electronic).
Communication and Correspondence:
Drafting and editing correspondence, emails, and memos.
Distributing information and updates to staff.
Responding to inquiries and requests for information.
Data Entry and Record Keeping:
Accurately entering and updating data in databases and spreadsheets.
Maintaining accurate records and files.
Generating reports and summaries as needed.
Office Organization and Maintenance:
Ensuring the office is clean and organized.
Coordinating with vendors for office maintenance and repairs.
Managing office equipment and troubleshooting minor issues.
Meeting and Event Support:
Preparing meeting rooms and materials.
Taking meeting minutes.
Assisting with event planning and coordination.
Other Duties:
Providing support to other departments as needed.
Assisting with special projects and tasks as assigned.
Qualifications:
High school diploma or equivalent (Associate's degree preferred).
Proven experience as an Office Assistant or in a similar administrative role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
