Job Summary: The Sales Executive – Back Office will be responsible for managing customer purchase orders (POs), ensuring contract compliance, coordinating with internal departments for timely deliveries, and supporting front-line sales teams. The role requires maintaining accurate records, handling customer accounts, and ensuring smooth sales operations with a focus on efficiency and customer satisfaction. Key Responsibilities: Order Management & Contract Review: 1. Acknowledge Purchase Orders (POs) and conduct contract reviews before processing them in the ERP system. 2. If the PO aligns with the contract terms, punch it into the system and send the Order Acknowledgment (OA) along with delivery dates to the customer.
Planning & Coordination: 3. Prepare material planning and raise Production Planning (PP) requests based on customer POs or forecasts. 4. Organize meetings with the Purchase Team and follow up regularly to ensure timely material procurement. 5. Provide dispatch instructions, coordinate with the Warehouse, and ensure ontime dispatch. 6. Check invoice details and immediately notify the Accounts Department of any discrepancies. 7. Support Logistics team for preparing required dispatch documents, including ASN, Road Permits, and E-Forms.
Customer Communication & Account Management: 8. Share tracking details with customers and follow up for Goods Receipt Notes (GRN). 9. Follow up with customers or the Front Sales Team for payment recovery. 10. Regularly prepare and reconcile customer payment statements and open order statements. 11. Identify and correct discrepancies in customer account balances. 12.Create and update customer details in the system as needed.
Sales & Inventory Support: 13. Assist Front Sales Staff in handling and documenting customer accounts. 14. Identify and correct pricing errors in the system, raising alerts for loss-making articles. 15. Assist in inventory control by providing accurate demand forecasts. 16.Discuss forecast variations with customers to align expectations. 17.Manage Stock Agreements with customers. Quality & Compliance: 18. Follow up with the Quality Team for reports such as Pre-Dispatch Inspection (PDI), Inspection, Certificate of Conformance (COC), etc. based on customer demand. 19. Address customer quality claims in JEEVES, handle deviations in part specifications, and coordinate with the Quality Team for resolution. 20.Maintain On-Time In-Full (OTIF) performance in JEEVES. Reporting & Documentation: 21. Generate weekly, monthly, and yearly sales reports from JEEVES. 22. Prepare and submit required documents for hazardous/non-hazardous materials. 23. Book credit invoices in the system and provide the OA to the warehouse for release. 24.Upload OA details on the Schneider portal. 25. Track and maintain customer urgency reports. Customer & Account-Specific Responsibilities: 26. Handle sales operations for Schneider, Alfa Laval, and GE Powers accounts. 27. Respond to RFQs and customer inquiries for Alfa Laval. 28.Create Customer IDs in JEEVES (For Alfa Laval). 29. Take responsibility for the work of a co-partner in case of their absence.
