Job Summary:
The Operations Manager for the Facility Department is responsible for overseeing the day-to-day operations of the facility, ensuring that all building systems, maintenance, and safety protocols are efficiently managed. This role involves coordinating staff, managing budgets, implementing operational procedures, and ensuring that all facilities are in compliance with legal, environmental, and health standards. The Operations Manager will also collaborate with other departments to maintain the smooth functioning of the facility.
Key Responsibilities:
Facility Operations Management:
Supervise daily operations of the facility, including building maintenance, cleanliness, and safety.
Coordinate and oversee routine inspections of facilities to ensure safety standards and compliance with regulations.
Manage the upkeep of all facilities, including HVAC, electrical systems, plumbing, and security systems.
Plan, organize, and manage facility-related projects, ensuring they are completed on time and within budget.
Team Leadership & Staff Supervision:
Lead, train, and mentor a team of facility staff, including technicians, janitors, and maintenance personnel.
Assign daily tasks and ensure team members are adhering to safety, quality, and efficiency standards.
Conduct performance evaluations and provide ongoing feedback and development opportunities to staff.
Budget & Cost Management:
Develop and manage the facility’s budget, ensuring cost-effective operations and maintenance procedures.
Review and approve invoices, purchase orders, and other financial documents related to facility operations.
Monitor energy usage and implement strategies to reduce utility costs, ensuring sustainability initiatives are followed.
Safety & Compliance:
Ensure that all facility operations adhere to local, state, and federal regulations.
Maintain and enforce safety protocols to ensure a secure environment for employees and visitors.
Stay current on health and safety codes, and lead efforts to maintain a safe working environment for all staff.
Vendor & Contractor Management:
Manage relationships with external contractors and service providers, including janitorial, security, and maintenance vendors.
Negotiate contracts, oversee work quality, and ensure timely and cost-effective service delivery.
Handle any facility-related issues that require external support or expertise.
Facility Improvement & Optimization:
Identify areas for operational improvements and implement solutions to increase facility efficiency and productivity.
Manage facility-related upgrades and renovations, ensuring minimal disruption to operations.
Develop and implement long-term strategies for facility sustainability and optimization.
Reporting & Documentation:
Maintain accurate records of maintenance schedules, inspections, and repairs.
Prepare and present regular reports on facility performance, budgets, and staff activities to senior management.
Ensure that all facility documentation is up to date, including contracts, warranties, and manuals.
Qualifications:
Bachelor’s degree in Business Administration, Facilities Management, Engineering, or a related field (preferred).
Proven experience (5+ years) in facility management or operations, with at least 2-3 years in a leadership or managerial role.
Strong knowledge of facility systems (HVAC, plumbing, electrical, etc.), safety regulations, and building maintenance.
Excellent leadership, communication, and organizational skills.
Ability to manage budgets, analyze financial documents, and optimize costs.
Strong problem-solving and decision-making abilities.
Ability to multitask, prioritize, and handle pressure in a dynamic environment.
Familiarity with sustainability initiatives and green building standards is a plus.
Certification in Facilities Management (e.g., CFM, FMP) is a plus.
Physical Requirements:
Ability to inspect and supervise facility systems, including the ability to lift, carry, or move items as needed.
Ability to stand or walk for extended periods.
Ability to work in various environmental conditions (e.g., hot, cold, wet conditions depending on the facility environment).
