Key Roles & Responsibilities:

1. Procurement & Vendor Management:

Identify and evaluate suppliers based on price, quality, and reliability.

Negotiate terms, pricing, and contracts with vendors to optimize costs.

Process purchase orders, follow up on deliveries, and resolve any discrepancies.

Maintain strong supplier relationships and assess vendor performance.

2. Report Organization & Documentation:

Prepare and maintain procurement records, including purchase orders, quotations, invoices, and vendor agreements.

Organize and analyze data using MS Excel (Pivot Tables, VLOOKUP, HLOOKUP, Conditional Formatting, etc.).

Generate periodic reports on procurement activities, cost analysis, and vendor performance.

Ensure all documentation is up to date and readily available for audits.

3. Accounting & Ledger Reconciliation:

Verify purchase invoices against orders and delivery records.

Reconcile ledger entries, vendor payments, and outstanding balances in coordination with the accounts team.

Ensure compliance with financial policies and assist in month-end closing activities.

Track procurement expenses and ensure timely vendor payments.

4. Inventory & Cost Control:

Monitor and maintain optimal inventory levels to prevent shortages or overstocking.

Coordinate with the warehouse team for stock verification and audits.

Identify cost-saving opportunities and implement effective purchasing strategies.

5. Communication & Mail Drafting:

Draft and send professional emails for purchase inquiries, negotiations, order confirmations, and follow-ups.

Maintain clear and timely communication with vendors, finance, and internal teams.

Prepare and present procurement reports in an easy-to-understand format.

6. Compliance & Audit Preparation:

Ensure all procurement transactions comply with company policies and regulations.

Assist in internal and external audits by providing necessary documentation and reports.

Maintain accurate records for future reference and compliance purposes.
