Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide administrative
The ideal candidate will be detail-oriented, capable of handling confidential information, and
skilled at managing multiple tasks efficiently.
Key Responsibilities
Administrative Support
● Manage executive calendars, schedule meetings, and coordinate appointments.
● Handle correspondence, including emails, calls, and messages on behalf of the
executive.
● Prepare reports, presentations, and documents as required.
● Maintain organized records and filing systems (digital and physical).
Meeting & Travel Coordination
● Arrange domestic and international travel, including flights, accommodations, and
itineraries.
● Prepare meeting agendas, take minutes, and follow up on action items.
● Organize conferences, events, and executive-level meetings.
Communication & Liaison
● Serve as a primary point of contact between the executive and internal/external
stakeholders.
● Draft, edit, and proofread emails, memos, and reports.
● Handle sensitive information with professionalism and discretion.
Project & Task Management
● Assist in managing projects, tracking deadlines, and ensuring deliverables are met.
● Conduct research and provide summaries or insights on relevant topics.● Support decision-making by gathering data and presenting key findings.
Office & Personal Assistance (if applicable)
● Oversee office operations, supplies, and vendor relationships.
● Occasionally assist with personal tasks, such as event planning or household
management.
Qualifications & Skills
● Bachelor’s degree in Business Administration, Communications, or a related field
(preferred).
● Proven experience as an Executive Assistant, Personal Assistant, or similar role.
● Strong organizational and time-management skills.
● Excellent verbal and written communication abilities.
● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and
collaboration tools (Zoom, Slack, Google Workspace).
● Ability to handle confidential information with integrity.
● Strong problem-solving skills and ability to work independently.
Preferred Qualifications
