Job Summary
We are seeking a dynamic and organized Administrative Assistant to handle initial client calls, assign leads, and coordinate seamlessly with staff and vendors. The ideal candidate should possess excellent communication and organizational skills to ensure smooth business operations.
Key Responsibilities
Initial Lead Handling:
Conduct initial calls to potential clients and collect essential details.
Understand client requirements and assign leads to the appropriate team members.
Lead Assignment and Tracking:
Manage and distribute leads to sales or project teams based on priority and expertise.
Maintain an up-to-date database of leads and follow-ups.
Staff Coordination:
Act as a point of contact between management and staff.
Schedule and communicate tasks effectively to ensure timely execution.
Vendor Coordination:
Communicate with vendors for pricing, orders, and follow-ups.
Ensure vendor deliverables are met within the agreed timelines.
Administrative Support:
Prepare and share regular reports on lead status and project progress.
Handle basic administrative duties such as documentation, scheduling, and email communication.
