1. Order Management & Coordination:
• Receive and review dispatch orders from the production and sales teams, ensuring accuracy and completeness.
• Coordinate with the production team to confirm the readiness of finished LED products for dispatch.
• Prioritize and schedule dispatches based on order urgency, customer requirements, and delivery timelines.
2. Inventory Management:
• Monitor inventory levels of finished goods in the dispatch area, ensuring that products are stored safely and are ready for shipping.
• Maintain accurate records of inventory, tracking product quantities, batch numbers, and storage locations.
• Coordinate with the warehouse team to manage space and inventory flow to optimize dispatch operations.
3. Shipping & Logistics Coordination:
• Arrange transportation and coordinate with logistics providers to ensure timely and cost-effective delivery of goods.
• Prepare and verify shipping documentation, including invoices, delivery notes, and packing lists, for accuracy.
• Track shipments in transit and keep relevant teams informed of delivery status or delays.
4. Quality & Compliance Checks:
• Conduct final quality checks to ensure that products meet customer specifications and are correctly packaged.
• Verify that all products are dispatched with the required labels, safety tags, and documentation.
• Ensure compliance with regulatory and company standards for safe handling and transport of LED products.
5. Documentation & Reporting:
• Maintain dispatch records, including order details, shipping information, and inventory adjustments.
• Generate daily, weekly, and monthly reports on dispatch activities, including delivery performance, inventory status, and any issues encountered.
• Document and report any discrepancies or issues in the dispatch process, implementing corrective actions when needed.
6. Customer & Stakeholder Communication:
• Communicate with customers to confirm delivery schedules and address any dispatch-related inquiries.
• Coordinate with sales and customer service teams to handle customer requests and resolve dispatch issues promptly.
• Inform relevant stakeholders of any potential delays or challenges in the dispatch process.
7. Process Improvement & Efficiency:
• Identify opportunities for streamlining the dispatch process to reduce lead times and improve accuracy.
• Implement best practices for packing, labeling, and loading to minimize errors and enhance operational efficiency.
• Collaborate with logistics and production teams to address recurring issues and optimize dispatch workflows.
