Dispatch Executive

Key Responsibilities:

1. Dispatch Management:

   • Oversee the preparation and dispatch of finished goods to customers, ensuring accuracy in quantity and quality.

   • Coordinate with the warehouse team for packaging and labeling of dispatch materials.

   • Prepare dispatch documents such as Delivery Challans, Invoices, and any required export documents.

   • Ensure all dispatch orders are processed in a timely and efficient manner.

   • Ensure that products are correctly stacked and safely loaded into transportation vehicles.

2. Order Coordination:

   • Receive and process dispatch orders from the Sales and Production teams.

   • Verify the details of the orders and ensure that items are available for shipment.

   • Liaise with the logistics team to ensure timely transportation of products.

   • Coordinate with internal departments (sales, inventory, and quality) to resolve any discrepancies.

3. Inventory Control:

   • Ensure that dispatched goods are updated in the inventory management system.

   • Maintain accurate records of dispatch activities, including tracking numbers, shipment dates, and delivery confirmations.

   • Perform stock audits and ensure all dispatches are reconciled with inventory records.

4. Transportation Coordination:

   • Coordinate with third-party transport vendors and manage fleet schedules.

   • Ensure the timely dispatch of products and monitor delivery status.

   • Verify transportation documents, including delivery receipts, for dispatch and delivery.

5. Customer Communication:

   • Keep customers informed about their order status, delivery dates, and any issues related to dispatch.

   • Ensure proper follow-up to confirm receipt of goods by customers.

   • Resolve any customer complaints related to product delivery or shipment.

6. Documentation & Compliance:

   • Maintain accurate dispatch records and ensure all documents are compliant with internal and legal requirements.

   • Ensure proper filing and archiving of dispatch documents for future reference.

7. Safety & Quality:

   • Ensure the dispatch area is safe, organized, and compliant with health and safety regulations.

   • Ensure the goods being dispatched meet quality standards and are in good condition before shipment.

8. Team Coordination:

   • Work closely with the warehouse, production, and logistics teams to meet dispatch timelines.

   • Provide training to junior staff or new team members regarding dispatch processes and safety standards.
